Due to a significant increase in request volume for Fall 2009, the Link has recently extended the time requirement for requesting a group study room from 60 minutes in advance to four business hours in advance. Please go to Group Study Room Reservation Policies for more information.
Information about Available Rooms
Reserving classrooms or seminar rooms for semester-long courses
If you would like to reserve a classroom for your course, you can do so through the course reservation process processed by the Registrar for each academic period. More information on that process can be found at the Registrar's website.
Reserving classrooms or seminar rooms for one-time use
Classes that are held in other locations at Duke may wish to come to the Link for a single class session to take advantage of technology and classroom layout only available in the Link.
If you would like to bring a class into the Link for a specific date, please place your request through the Student Service Center Classroom Request Form. Be sure to include information about what you would like to use in the Link for your session (such as multiple projection, videoconferencing, laptops or specific software.)
If you are not sure which room you would like to request, use the Link request form to let us know what your needs are, and we can recommend a room for you. Note that Link staff will suggest possible rooms for you and then ask you to fill out the reservation form to officially request them; we do not reserve classrooms and seminar rooms.
Requests for events that are not related to on-going classes are accommodated on a space available basis and in accordance with the Link's mission to support teaching and learning. Student groups may reserve Classroom 2 for meetings, with the exception of sororities and fraternities; we are not able to accommodate sororities and fraternities for room requests. Due to demand for space in the Link, administrative or research meetings are not supported. Requests from professional schools are also currently not supported. If you wish to ask the Link to consider an exception for your event, please submit your request through the Student Service Center Classroom Request Form.
**Due to a significant increase in request volume for Fall 2009, the Link has recently extended the time requirement for requesting a group study room from 60 minutes in advance to four business hours in advance.**
Link group study rooms are available for reservation for classes and student study groups. Group study rooms can be reserved by visiting the service desk or filling out the Link request form.
It's important to know that simply submitting a request for a room is not always going to get a room. Our rooms are heavily in demand for reservations, especially at night, so reservations must be booked and confirmed by Link staff before you can assume that you have a room reserved for you.
To keep rooms available for as many students as possible, Link staff have set several policies for group study room reservation.
- We accept reservations for group study rooms up to one week in advance. Individuals and groups may make one reservation per week.
- Reservations are for academic and course use only. Extracurricular groups may not reserve Link group study rooms. Please note as well that professional school requests for room reservations are not accommodated.
- Due to demand, we are not able to accommodate reservations for office hours or tutoring sessions.
- Groups must have at least two students in order to reserve a room. Our largest group study room seats 12.
- Groups may reserve one hour per student, up to a four hour maximum.
- In order to keep access to rooms available for housekeeping staff, we are unable to make group study room reservations that begin at or after midnight or before 8 AM.
- We are unable to reserve rooms when Perkins Library is closed.
- Reservations on Friday and Saturday evenings must end no later than 11:45 PM.
- Reservations must be requested at least four business hours in advance and are not processed when the service desk is closed. Reservations must contain all of the requested information in order for the service desk to put them in queue to be processed.
- A same-day reservation request can start no earlier than four hours after the service desk has opened.
- A request placed after the service desk has closed can start no earlier than four hours after the service desk has opened the next day.
- A request placed less than 4 hours before the service desk closes may not be responded to until the next day - even if you requested for that evening.
- Service desk hours can be found on the Services page. We strongly encourage students to factor in that time requirement when making a reservation request in order to help us process your request in a timely manner.
When reserving a room, please provide the following information:
- Desired date, start time, and end time
- How many people you are expecting
- The course listing for the class you are studying for (for example, Math 21, or Bio 118.) We record this for evaluation purposes.
- Whether or not you'd like a room with an LCD screen. You can also specify a particular group study room, if you have a preference; we will meet that preference if possible.
Current group study room reservations can be viewed through the Student Service Center online web calendar here.
It's a good idea, if you anticipate needing a room for a study group, to request a reservation a few days in advance to make sure there is time to process the request. If you aren't able to get a reservation, you can still use any open Link study room that is not already reserved.
